Publishing a page that is using Workflow


In order for pages to be published, they must be created, reviewed, approved and then published, according to the workflows setup by your site administrator. Depending on your user rights you may have the ability to create content but not to approve it. Or, you may be able to create, approve and publish in some areas of your web site, but only be able to create in others.


This page describes the main steps in moving a page from creation through to final publication.


Getting pages approved

1. Log on to the ACM and navigate to the page you wish to send for approval
2. Edit the page and make sure it is in final draft form
3. If you make changes, click Save
4. Once it is ready for approval, click Submit
5. Enter the Workflow Action Note. These notes provide information to those involved in publishing the page. Notes kept on Workflow Tab until page is published and then clear automatically

Once you have submitted the page, it is sent to the appropriate person according to the web page workflows setup by your site administrator.


Approving Pages

1. Log on to the ACM
2. Navigate to page requiring approval
3. Edit page in Full Edit mode
4. Click Vote Approve button in page action bar
5. Enter Workflow Action Note. These notes provide information to those involved in publishing the page. Notes kept on Workflow Tab until page is published and then clear automatically


Rejecting Pages

1. Log on to the ACM
2. Navigate to page to reject
3. Edit page in Full Edit mode
4. Click on Vote Reject button in page action bar
5. Enter Workflow Action Note. These notes provide information to those involved in publishing the page. Notes kept on Workflow Tab until page is published and then clear automatically

 When a page is rejected, the page status reverts to Draft and an email is sent to providers, approvers, and monitors.


Emergency publishing pages

Only System Administrators can use this feature. Use this procedure to publish a page that still has workflow steps remaining. All remaining workflow steps are skipped.

1. Log on to the ACM
2. Navigate to page requiring approval
3. Edit page in Full Edit mode
4. Click Emergency Publish

Note: When you Emergency Publish the page is automatically updated on the live site but the Search and Navigation features are not updated. These features will only be updated after the next scheduled export of your web site. Only users with access to the Export Manager can export content..


Emergency rejecting pages

Only System Administrators can use this feature. Use this procedure to reject pages that still have workflow steps remaining. All remaining workflow steps are skipped.

1. Log on to the ACM
2. Navigate to page to reject
3. Edit page in Full Edit mode
4. Click on Emergency Reject

When a page is emergency rejected, the page status reverts to Draft and an email is sent to providers, approvers, monitors and the site administrator.


Scheduling a page for publication

You can make changes to a page and schedule those changes for publication at a future date and time. This is done on the Workflow tab of the page.

1. On the page you wish to schedule, go to the Workflow tab
2. In the Publish Date field, enter the date and time to automatically publish page
3. On the page editor toolbar, click Publish. The page status changes to Pending Publication and shows the date and time to automatically publish page. Users with Emergency Publish rights can force the publication if needed

Note:  If your site requires exportation in order to update your public web site, you should take the site export schedule into consideration when planning future publication dates and times. You'll want to ensure that you do not miss a schedule site export as this may mean that your updated content has to wait for the next export before it will be available on the public site.
